Terms of service

The terms for using Sentra CMS and this website: your content and data, accounts, accessibility, AI features, fees and support.

These terms cover the Sentra CMS service and this website. If your agency has a signed agreement or order form with Computer Systems Plus, Inc., that agreement controls wherever it differs from these terms, and any terms your agency is required by law to include take precedence.

The service

Sentra CMS is a hosted website content management system for public agencies. It includes the admin where your staff edit and publish, the public pages it produces, and the features listed in your quote. We may improve the service over time; we won’t remove a feature your agency relies on during a paid term without notice and a reasonable alternative.

Accounts and sign-in

  • Your agency decides who gets an account and what each person can do.
  • Everyone signs in with two-factor authentication or your agency’s single sign-on.
  • Keep sign-in details private and tell us promptly at [email protected] if you think an account has been misused.
  • You’re responsible for what happens under your agency’s accounts, and we’re responsible for keeping the service secure.

Your content and data

  • Your agency owns its content: pages, documents, images, form submissions, subscriber lists and everything else you put in Sentra CMS.
  • You give us permission to host, copy, process and display it only as needed to run the service for you.
  • You can export your content at any time. Published sites are kept in your own Git repository, so your website is always yours.
  • When the agreement ends, you have 90 days to export, after which we delete your data from the service. Backups are deleted on their normal 14-day schedule.
  • Public records requests about your content go to your agency. We’ll help you gather what’s requested.

Acceptable use

Don’t use Sentra CMS to break the law, to send spam or deceptive messages, to upload malware, to probe or overload the service, or to get around security or the accessibility check. We may suspend an account that puts the service or other customers at risk, and we’ll tell you why.

Accessibility

We build Sentra CMS to meet WCAG 2.1 Level AA, and the publish check blocks the most serious problems before anything goes live. Your agency is still responsible for the content it writes and uploads, such as captions on video and the accessibility of documents. See our accessibility statement and conformance report.

AI features

AI features are optional, and your agency chooses which to turn on. AI never publishes on its own: a person reviews every draft, translation and alt text suggestion first. Your content isn’t used to train AI models. Check AI output before you rely on it, just as you would a draft from a colleague.

Services you connect

If you connect another service, such as a Git host, email or text message provider, payment processor or analytics, that service’s own terms apply to it. We aren’t responsible for services we don’t run.

Availability and support

We work to keep Sentra CMS available around the clock, with planned maintenance scheduled outside business hours where possible. Live status is at System status. Support is by email at [email protected] and by phone at (559) 251-7767. Service levels, if any, are set out in your agreement.

Fees and payment

Fees are set in your written quote. Invoices are issued yearly in advance, with Net 30 payment terms unless your agreement says otherwise. Renewal pricing follows your agreement.

Term and ending the agreement

The term is set in your quote or agreement. Either side may end the agreement if the other materially breaches it and doesn’t fix the problem within 30 days of written notice. Agencies may also end it where their law allows, for example for non-appropriation of funds.

Confidentiality and security

We keep your non-public information confidential and use it only to provide the service. Our safeguards are described on the security page, and the providers we use are listed under subprocessors.

Warranties

We’ll provide the service with reasonable skill and care, substantially as described in our documentation. Apart from that and anything in your agreement, the service is provided “as is”, to the extent the law allows.

Liability

To the extent the law allows, neither side is liable for indirect or consequential losses, and each side’s total liability is limited to the fees paid in the 12 months before the claim. These limits don’t apply to a breach of confidentiality, to amounts owed, or where the law doesn’t permit a limit.

Governing law

For public agencies, the law of the agency’s state applies. Otherwise, California law applies.
