Procurement
How agencies buy Sentra CMS: quotes, W-9, insurance, security questionnaire, VPAT, purchase orders and sole-source letters.
Get a quote
Sentra CMS is quoted for each agency, not sold off a price list. Request a quote with your agency’s name and the sites you run, and we’ll send a written quote with your yearly rate, setup, content migration, training and the term. Multi-year agreements come with a discount, and agencies that already use CivicCA, Sentra 311, SentraCheck, SentraScheduler, SentraCaptions, SentraDeed or GOVvpat get a suite discount. Renewals follow a 3% cost-of-living adjustment (COLA) each year by default, written into the agreement.

Purchase orders and payment
We accept purchase orders. Invoices are issued annually in advance. Net 30 is the default invoice term; Net 60 is available on request. ACH, paper check and credit card are accepted.
Purchasing thresholds
Check your own purchasing rules. If your quote falls under the limit that triggers a formal bid, a purchase order is usually enough. If a formal bid or RFP is required, send it to us and we’ll respond.
Sole-source justification
If your purchasing rules require it, we can provide a sole-source letter describing Sentra CMS’s features. Whether sole-source applies is your agency’s decision.
