How Sentra CMS handles personal information on this website and in the service.

Who we are

Sentra CMS is provided by Computer Systems Plus, Inc., 2134 North Fine Ave, Fresno, CA 93727. Questions: [email protected].

This website

  • No advertising trackers or analytics cookies. This site doesn’t use advertising cookies and doesn’t sell or share personal information.
  • Your theme choice (light or dark) is stored in your browser only.
  • Forms. When you contact us or ask for a demo or quote, we use your details only to reply and to prepare your quote. We keep them while we’re in contact with you.
  • Server logs (IP address, page, time) are kept briefly for security and then deleted.

The Sentra CMS service

When an agency uses Sentra CMS, the agency controls its content and the personal information of its staff and residents, such as alert subscribers, form submissions and resident accounts. We process that information only to provide the service, under the agency’s instructions and our agreement with them. A data processing addendum is available on request.

  • Staff accounts: name, work email, role and sign-in history, used to run sign-in, permissions and the audit log.
  • Resident information: collected by the agency’s forms, alerts and accounts, and used only for the purpose the agency states.
  • Cookies in the service: the admin uses essential cookies to keep you signed in. Published websites use only the cookies the agency chooses, and analytics are off unless the agency turns them on.
  • AI features: when an agency turns them on, the text being processed is sent to our AI provider to produce the result. It isn’t used to train models.

How we protect it

Data is encrypted in transit, and stored files are encrypted at rest. Everyone signs in with two-factor authentication, and access by our staff is limited and logged. See security for details and subprocessors for the providers we use. Data is stored in the United States.

How long we keep it

Agency data is kept for the life of the agreement and deleted within 90 days after it ends. Database backups are kept for 14 days and then deleted. Agencies can set shorter retention for things like form submissions and chat logs.

Your choices and rights

You can ask to see, correct or delete information we hold about you by emailing [email protected]. California residents have these rights under the California Consumer Privacy Act, and we won’t treat you differently for using them. If your information is held for an agency that uses Sentra CMS, please contact that agency first. We’ll help them respond.

Children

This site and the service aren’t directed at children. School districts that use Sentra CMS remain responsible for student information under FERPA and their own policies.
